Medeco Intelligent Key Cabinet (IKC)

The Intelligent Key Cabinet is a complete, electronically-controlled, key management solution that can secure, distribute and audit the use of XT Keys, mechanical keys, or other assets. Only authorized users can gain access to the cabinet via the included biometric fingerprint reader or PIN code pad, or a combination of both. An optional access card reader is also available. IKC is available in configurations to store mechanical keys, XT electronic keys or a combination of both. As an essential addition to any Medeco XT Intelligent Key system, it locks XT keys in place and keeps them charged and ready for use. The IKC can improve employee efficiency and increase accountability which translates into a more secure facility with lower operating costs.

Benefits:

Accountability: No more wondering who has checked out keys or for how long. Complete audit trail and reporting by user and key activity. User accountability reduces lost keys. Fewer lost keys leads to lower expenses and improved security.
Analytics: Identify potential problems in removal and return patterns before they escalate. Complete reporting suite provides multiple reporting options to provide real-time data. Reports can be automatically generated and sent to multiple users by email. Custom reports can be configured and exported to Excel for added convenience.
Security: Loose keys are vulnerable to being misplaced or stolen. Only authorized users are able to access the electronic key management system. Biometric Finger- print, PIN, and/or Prox Card authentication (optional) allow access to the IKC for added security and control. The IKC supports dual authentication if desired. For added security, a digital photo capture of each login can be added.
Convenience: Allow employees to retrieve keys quickly without waiting for a manager. Quick, easy-to-use web- based or locally hosted software shows what keys are in, what keys are out, and to whom they are issued. The IKC allows the return of any key to any location in the cabinet, and then learns the key’s new location.
Productivity: Eliminate time spent searching for, or replacing lost keys – always know who took which key , and when.
Efficiency: Pair with a full XT solution to identify patterns and workflows to gain even greater efficiency and security. XT version cabinets charge and program keys while they are secured and stored, ensuring keys are always ready to go.

Mechanical iFob Configuration

The Mechanical iFob Configuration meets the security needs of any industry or application by securely storing and tracking mechanical keys, CLIQ keys and other assets. The Mechanical iFob Configuration uses exclusive iFob tracking technology to enhance accountability, analytics, and asset control for mechanical keys and other assets.

The iFob is a nickel-plated brass device with a unique electronic ID. When it is secured to a key or other assets it enables identification by administration software, and all its activity is recorded.

  • Authorized administrators can access the system from any PC-based web browser.

XT Configuration

An essential element of the Medeco XT ecosystem, the IKC XT Configuration seamlessly integrates the benefits of the Medeco XT key system and software while securely storing and charging XT keys. Medeco XT adds security, regulatory compliance, and accountability to virtually every opening in a fast, efficient way.

The IKC maintains records of key removals and returns. The IKC integration with XT Web Manager software provides complete tracking, audit accountability, and electronic access scheduling. This powerful integration allows you to see exactly who removed keys, when keys were removed, which openings were accessed and when, and when the keys were returned. Custom programming of user access rights in the XT software enhances security and simplifies key control by assigning users a single Intelligent Key that gives them access to all the locks they need to open.

Medeco EA-100236-MD0 – Frequently Asked Questions

1) What is the difference between the iFob and XT configurations of the Medeco Mini Intelligent Key Cabinet?
The iFob configuration tracks mechanical keys, CLIQ keys and other assets by attaching them to an iFob, a nickel-plated brass tag carrying a unique electronic ID that the software reads on removal and return. The XT configuration is built for Medeco XT electronic keys: it stores and charges them, reads each XT key serial number, and ties into XT Web Manager for programming and audit. If your facility runs conventional brass keys or tags vehicle and equipment assets, order iFob. If you already run an XT Intelligent Key system, order XT so keys come out charged and programmed to schedule.
2) Can I mix mechanical keys and Medeco XT electronic keys in one 32 port key cabinet?
No. A 32 port Medeco Intelligent Key Cabinet must be all XT ports or all iFob ports, with no mixing. Mixing is only possible in the 64 port cabinet, which can run all XT, all iFob, or 32 XT plus 32 iFob. If your facility hands out both brass keys and XT keys from one point, either step up to the 64 port size or plan on a second cabinet, since the system scales with add-on cabinets and panels.
3) What do I have to specify when ordering a Medeco Mini Intelligent Key Cabinet?
Three decisions. Configuration type, iFob or XT. Input device type, either no input, a multi-class reader input, or customer-supplied input, which is the route to take if you already own readers and credentials you want to reuse. And whether you want the floor stand, which is ordered as a yes or no option rather than as a separate accessory. The fingerprint reader and PIN pad come with the cabinet regardless of which input option you choose.
4) Does the Medeco XT key cabinet program the keys, or do I still need a separate programmer?
The XT configuration has a built-in XT IPD programmer at the cabinet, so no separate programming station is needed for day to day issue. Keys sit unprogrammed until a user authenticates, at which point the key syncs to that user's XT schedule. On return, the cabinet pulls the audit data off the key and deprograms it. A key stolen off a contractor's belt after hours is therefore not a key to your building.
5) How do I get reports on who has keys out of the Medeco Intelligent Key Cabinet?
The cabinet keeps a full audit trail by user and by key activity, viewable through a web interface that shows what is in, what is out, and who has it. Reports can be scheduled to generate automatically and email to multiple people, and custom reports export to Excel. Administrators reach it from any PC web browser. Software runs either locally hosted or Medeco-hosted. Unauthorized key removal triggers a notification, and the cabinet can send SMS and email alerts along with audible and visual alarms at the unit.
6) Does my existing prox or smart card system work with the Medeco key cabinet?
Two paths cover it. The multi-class reader input option is ordered with the cabinet and handles prox and smart card credentials. The customer-supplied input option lets you fit a reader you already standardize on across the building, so key cabinet access runs on the same badge staff already carry. Prox card authentication can be used alone or paired with fingerprint or PIN for dual authentication.
7) Do staff have to return a key to the exact slot they took it from?
No, and that is the practical difference from a pegboard. Any key can be returned to any location in the cabinet, and the system learns the key's new location. Nobody has to hunt for the right hook at the end of a shift, and a key put back in the wrong place is not a lost key.
8) Can I get into the Medeco key cabinet if the power or the network goes down?
There is a Medeco high security mechanical lock for manual override on the cabinet, plus an Emergency Fob Release System for getting fobs out. That matters for a property manager or an on-call maintenance lead who needs a key at 2am with the building on generator or the network down.
9) Can the Medeco key cabinet track things other than keys, like vehicle fobs or tool room assets?
Yes, through the iFob configuration. The iFob attaches to whatever you want controlled, a key ring, a vehicle fob, a piece of equipment, and gives it a unique electronic ID that the software recognizes. Anything you can secure an iFob to becomes a tracked, checked-out asset with the same audit trail as a key. Customizable user groups let you decide which staff can pull which assets.
10) Is 32 ports enough, and what happens when we outgrow it?
The Mini cabinet holds 32 ports, one key or asset per port, so size it against how many individually tracked keys you issue, not how many keys the facility owns. The system is scalable with add-on cabinets and panels, and supports multi-system networking, so multiple cabinets across a campus or a portfolio of buildings run under one software view rather than as separate islands. Medeco also builds the cabinet in a 64 port size if you would rather start larger in one location.
11) Is the Medeco Intelligent Key Cabinet a commercial grade product or something for a home or small office?
It's a commercial product, built for facility key control in multi-family, healthcare, hospitality, education, government and fleet operations, anywhere keys are issued to a rotating group of staff and contractors. The draw is accountability and reporting rather than simple storage, so it fits where lost keys mean rekeying costs and compliance exposure, not where a locked box would do.
12) Do I need a stand for the Medeco Mini key cabinet or can it mount on the wall?
The stand is an option you choose at order time, yes or no, on every configuration of the Mini cabinet. Take the stand when there's no suitable wall in the dispatch area or maintenance shop, or when you want the cabinet positioned away from a wall for queueing. Skip it if you're mounting in an existing key room where wall space is already allocated.
